Connect a Gmail or Microsoft 365 mailbox

Connect your support mailbox in Gmail, Google Workspace or Microsoft 365 directly, instead of setting up a forwarding rule.

1 min read Beta

This feature is still being built. Some steps or screens may change.

Instead of forwarding your support mailbox to ChaosDesk, you can connect the mailbox itself. New mail arrives within seconds, and you don’t need a forwarding rule.

This works with Gmail, Google Workspace and Microsoft 365. The connection is being rolled out. If you don’t see the buttons below yet, set up email forwarding instead.

Connect the mailbox

  1. Open Admin Center, Channels, Brands & email and find Connected mailboxes.
  2. Choose Connect Gmail or Connect Microsoft 365.
  3. Sign in to the support mailbox and allow ChaosDesk to read it.

You return to ChaosDesk, and the mailbox shows as Receiving. If the address is not a support address yet, it becomes one.

How it works

  • When new mail arrives, Gmail or Microsoft tells ChaosDesk, and ChaosDesk reads the message.
  • Mail goes through the same steps as forwarded mail: threading, spam checks, suspended tickets and your triggers.
  • ChaosDesk renews the connection on its own and checks the mailbox once an hour, so a missed notice costs at most an hour.
  • Read new mail now checks the mailbox straight away.
  • A mailbox can be connected to one workspace only.

Replies

Replies still go out from ChaosDesk, from your support address. Verify your sending domain so they reach your customers’ inboxes.

If the connection breaks

If someone removes ChaosDesk’s access in Google or Microsoft, the mailbox shows Reconnect. Connect it again with the same button. To stop, choose Disconnect.
